Roles & Responsibilities:
Assisting the Human Resources team with the onboarding and administration of team members.
Booking Drug and Alcohol tests
Arranging orientations/training
Establishing background checks
Conducting reference checks
Collecting all required documentation
Forwarding documents for signature
Assisting in the review of candidates for open positions.
Assisting in matching candidates to job vacancies in the applicant tracking system.
Assisting in keeping information within the applicant tracking system up to date.
Assisting in the conversion of resumes.
Assisting in the creation of job descriptions.
Managing travel and accommodation requirements for our site teams.
Posting and renewing job positions online as required.
Reception duties, including answering/transferring calls & taking messages.
Creating and maintaining calendar entries – team birthdays, anniversaries, referrals, meetings, etc.
Maintaining WestCorp’s electronic filing system.
Managing WestCorp’s internal personnel list and address book.
Assisting with the creation/suspension of WestCorp Solutions email/server access for team members.
Supporting the tracking/monitoring of our contractor insurance compliance.
Tracking/maintaining our internal list of contract end dates to ensure timely renewals.
Maintaining the shared OneDrive Admin Folder on WestCorp’s servers.
Maintaining the required level of office supplies – tracking & re-ordering.
Purchasing PPE for our team members when required.
Providing support with the coordination and management of all activities related to corporate events as required.
Safety Administration – Creating the agenda for WestCorp’s monthly safety meetings, sending out calendar invites and organizing and preparing the safety topic for the presentation during the meeting.
Managing and liaising with the Drug and Alcohol program coordinator at client site for random D&A testing.
Other duties as assigned by the HR Manager.
Skills & Knowledge:
Strong Microsoft Office Skills (Outlook, Teams, Word, Excel, One Drive, and SharePoint).
Excellent communication skills, both verbal and written.
Excellent customer service skills, both verbal and written.
Attention to detail and accuracy.
Work effectively and efficiently both independently as well as in a group.
Organization and Time Management Skills – be able to prioritize, multitask, and meet deadlines.
Consistent calm and professional attitude and demeanor always with clients and team members.
Takes Initiative within their own work scope and supports the team and organization in its entirety.
Education & Experience:
Post-secondary education in Human Resources, Office Administration, or Business Administration is considered an asset.
Two (2) years experience in a similar role is required.
Previous HR Recruiting/staffing agency experience is considered an asset.
Experience with an applicant tracking system is considered an asset.
